Trips and bookings/Booking terms

Booking terms

Choose how anglers pay, whether you accept each booking first, and what they get back if they cancel.

Your booking terms say how anglers pay, whether bookings wait for you to accept them, and what anglers get back if they cancel. Anglers agree to them at checkout, and they’re in their booking emails. Every business starts on Gillie’s standard terms.

Change your booking terms

Only the owner or an admin can do this.

  1. Go to Settings, then Booking terms. On a phone, Settings is under More.
  2. Tap Edit on your terms. The first time, saving makes Gillie’s standard terms your own.
  3. Under Ask me first, choose which bookings wait for you, if any.
  4. Under If an angler cancels, set the refunds, then choose When anglers pay.
  5. Tap Save changes.

Refunds when an angler cancels

The earlier an angler cancels, the more they get back. Each step is a refund, like a Full refund or a Half refund, if they cancel at least so many days before the trip. Tap Add a smaller refund closer to the trip for another step. Each step closer to the trip gives back less.

The days count back to the time the trip starts, in your time zone. Refunds are a share of what the angler has paid so far. After the last step there’s no refund, but anglers can still move to another date for free.

Anglers can move their own booking to another date of the same trip until the day of the trip. On the day, they ask you. Moving never earns a better refund. To move a booking yourself, see changing or refunding a booking.

Until you take card payments

Until card payments are on, anglers pay you on the day, so there’s nothing to refund. Your refund steps set how long anglers can cancel instead: the card on this page shows Free to cancel up to your last step. After that, they can only move to another date.

Deposits are taken by card, so they need card payments too. Tap Set up card payments, or see getting paid.

Take a deposit

Under When anglers pay, choose A deposit when they book instead of The full price when they book. A deposit is a percent of the price, rounded up to a whole amount. Then choose when The rest is paid:

  • paid to you on the day. If an angler cancels, they get back the deposit at most.
  • taken from their card, a number of days before the trip. Gillie emails them before it’s taken. Anyone who books closer to the trip than that pays in full when they book.

Accept bookings first

Under Ask me first, turn on Every booking, or only some:

  • Whole trips: a whole boat or a private session, booked by one party.
  • Big parties: anglers booking a number of places or more, which you set.

With everything off, bookings are confirmed straight away.

A booking that waits for you is a request. Its places are kept, and the angler’s card is held but only charged when you accept. You have a set time to answer, shown on this page, or until the trip starts if that’s sooner. Gillie reminds you before it runs out. Unanswered, the request ends and its places go back on sale. Anglers can withdraw a request for free while it waits.

Anglers see which bookings you accept first on the trip page, and checkout tells them when theirs is a request.

Add your own terms

Under Your own terms, write anything else anglers agree to, like when to be at the meeting spot or who has the last word on safety. You can use bold, headings, lists and links.

Anglers read your own terms at checkout, under the rest, and agree to them when they book. Their booking page keeps the words as they were when they booked, so changing them later only reaches new bookings.

Show anglers you’re insured

Under Insurance at the foot of Booking terms, turn on I’m fully insured if your business holds liability insurance for its trips. If you like, add What it covers, such as how much the cover is, then save.

Anglers see Fully insured in Before your trip on every trip page, and with your terms at checkout. It’s for your whole business, not one set of terms.

Use different terms for different trips

  1. Tap Add another set of terms.
  2. Give it a Name. Anglers never see it.
  3. Set it up as above, then tap Save terms.
  4. On each trip that should use it, open Prices and booking and pick it under Booking terms.

New trips start on the set marked Used for new trips. To change that, tap Use for new trips on another set. Trips you’ve already made keep their terms.

Change or delete a set of terms

When you change a set, every trip using it changes too. Bookings already made keep the terms the angler agreed to.

To delete a set, tap Edit, then Delete, and confirm with Delete terms. Its trips move to the set used for new trips. With no sets left, trips go back to Gillie’s standard terms.

Whatever your terms say, if you call a date off, anglers can always choose a new date or a full refund. See calling off a date.
